How do I deliver several lots in one delivery?
Send several lots, each with its own quantity, from one account to one receiver in a single delivery. The lot rules check every lot, and every lot goes or none does.
A truck often leaves with more than one lot: two qualities of the same coffee, or the rest of last week's lot together with today's. Record them as one delivery and the receiver, the approver and the reports see one shipment, while each lot keeps its own story.
Deliver several lots
- In Deliveries, select Deliver lot, or on a lot's page select Deliver.
- Choose the first Lot, where it Leaves from and the Quantity, as for one lot.
- Select Add another lot for each further lot. Only lots held by the same sending account can be added, up to 20 per delivery, each once. Enter a quantity for each, or All. To take a lot out, select the remove button next to it (Remove lot 2 from this delivery).
- Choose the Recipient: one receiver for the whole delivery.
- Add the Document reference, for example the delivery note number, and Notes for the approver.
- Check What will happen: it says One delivery: every lot goes, or none does. Then select Send for approval.
Every lot is checked
Before you send, A-REX asks the lot rules about each lot, as it does for a delivery of one lot. A lot that a rule stops shows ‹lot› would be refused under its row, with the reason in plain words, for example an expired lot. One refused lot stops the whole delivery: remove it to send the others. The approver sees the same answer per lot.
One delivery: every lot or none
The approval reads "Deliver 2 lots to Nordkaffee Import GmbH" and lists each lot with its quantity. Once approved, the lots leave together: every lot goes, or none does. If a rule refuses one lot when the delivery is recorded, the whole delivery fails and nothing moves. Remove that lot and send the others again. See Waiting states for deliveries that wait for an approval A-REX prepared.
What you see afterwards
- Each lot's Story shows the delivery, with the quantity of that lot and "In one delivery with 1 other lot".
- The custody report of each lot in Reports, which lists every recorded event of one lot, shows the line "Transfer (one delivery of 2 lots)".
- Automations and connected systems receive one Lot delivered event per lot. Each event says how
many lots the delivery carried (the field
deliveryLots), so your system can group them. See Automations and Webhooks. - The assistant and AI tools prepare the same request with
arex_propose_transfer_batch; a person still approves it. See The assistant.
