What the ledger records, and what it does not

The ledger keeps a permanent, dated record of who declared what about your lots. It holds no personal data, and corrections are new records.

Your traceability ledger is the permanent record of your lots. A-REX prepares it for your company when you finish setup, and every approved action is written to it: who did what, to which lot, and when. Once written, a record is never edited or deleted: it can only be followed by a new one.

What it records

  • Lots: product and commodity code, quantity and unit, your lot code, harvest and expiry dates, and the origin reference of the site, never made from its location.
  • Deliveries: which lot, how much, from which account to which account.
  • Processing: which lots went in, which new lots came out, and the process.
  • Status changes: on hold, unfit, released, closed.
  • Certificates: the type, who signed it, the fingerprint of the document and how long it is valid.
  • Who and when: every record carries its date and the account that signed it.

Your company's own records, outside the ledger, keep the rest: who proposed and who approved each action, in the Audit log.

What it does not record

  • No personal data: names, tax IDs, contacts, addresses and coordinates stay encrypted in your directory. The ledger refers to parties and sites only by accounts and sealed references.
  • No documents: a certificate's file stays with you; only its fingerprint is recorded.
  • No notes: notes for the approver and the details you type for a status change stay in your company's records.
  • No truth: the ledger records who declared what, when, and with what evidence. It does not show that a statement is true. A lot registered by your company reads Declared by your company. See Evidence levels.

Corrections are new records

History is never edited. When something was wrong, a new record says so:

  • a lot that should not exist is closed with a reason, and the correct lot is registered;
  • a lot with a problem is put on hold or marked unfit, and released later if it is cleared;
  • a certificate that no longer applies is withdrawn, and a new one is attached.

Each correction is approved like any other action, and the lot's Story shows both the original and the correction. That is why the approval panel warns: "Written to the ledger: it can be superseded, never deleted".

Who can read it

Each lot has a public record without personal data, so a buyer can check a lot without an account. Everything else in the console is visible only to your team, according to their roles.
